Practice Management & Privacy Compliance
We use Owl Practice as our secure practice management platform to support client records, appointments, billing, and communication. Owl Practice is designed with strong privacy and security features that help support compliance with Canadian privacy laws, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA), as part of how it protects client data and manages consent. In addition to Owl Practice, we use Proton Mail for email communication because it offers advanced security protections. Proton Mail uses industry-recognized encryption standards, including end‑to‑end encryption and zero‑access encryption, so that the contents of your emails are protected and inaccessible to anyone other than the intended recipient. End‑to‑end encryption means that messages are encrypted on your device before they are sent and can only be decrypted by you and the person you’re emailing. Proton also stores emails in an encrypted form that the provider itself cannot access, and uses secure transmission protocols to protect messages as they travel across the internet. These features help ensure your communications remain private and secure.
Despite using these highly secure technologies, all information you provide, whether entered on a form, communicated in email, or shared through a client portal, is submitted at your own risk. We endeavour to use the most secure software available, but no technology can be absolutely foolproof. This means that while we take all reasonable and professional measures to protect your data, there may exist some risk inherent in transmitting or storing information online.
